Comparative Summary

Maintaining customer satisfaction is a crucial aspect of any business, but it’s even more important for property management firms that have earned the prestigious Diamond Certified award. For GBA Realty, the key to achieving and maintaining high levels of customer satisfaction is simple: take a service-forward, detail-oriented approach to every job. “We’re a relatively small firm, so we’re able to focus on serving the individual needs of our clients,” says owner Quan Phan. “Since we provide them with a single point of contact, they don’t have to navigate an administrative maze to get the assistance they need, which they really appreciate.”

GBA Realty has been providing property management services for owners of residential and commercial properties throughout the Bay Area since 2008. The company is also qualified to help its clients with real estate sales and purchases, and it utilizes various online tools and marketing strategies to make sure they get the most value out of their investments.

Unlike less experienced property management companies that limit their services to a single aspect of the industry, GBA Realty has the in-house capabilities to handle the dual aspects of real estate and property management. “Most realtors don’t provide property management services, and few property managers handle real estate listings, so our ability to do both really sets us apart,” affirms Mr. Phan. “With our diverse range of services, we’re basically a one-stop shop for property owners.”

Another distinguishing attribute of GBA Realty is its thorough expertise in the various facets of property management, which Mr. Phan says isn’t always a given in the industry. “Some people mistakenly think property managers just keep hedges trimmed and appliances working, but there’s much more to it than that. From dealing with tenants to handling legal issues, we utilize our well-rounded skills to benefit our clients and their investments.”

Industry Info

If you’re thinking about purchasing a rental property, make sure you understand the responsibilities you’ll be incurring. Here are some simple steps you can take to survive and thrive as a property owner:

Get familiar with basic tenancy laws. The Bay Area has some of the most stringent tenant laws in California, and these regulations are always changing, so it’s important for property owners to have a basic knowledge of local legislation. “For example, in San Francisco, property owners are only allowed to raise rent once a year,” says Quan Phan, owner of GBA Realty in San Francisco. “However, this depends on the year the building was constructed, as many older buildings are rent-controlled. This is just one of the many legal aspects that can affect you as a property owner, so it’s a good idea to gain some familiarity with the law.”

Work with a property management company. Due to the complexity of owning and running a rental property, most owners hire a property management company to handle day-to-day tasks. “In addition to maintaining the property, vetting tenants and collecting rent, property management firms can do things like write comprehensive rental agreements that don’t contain loopholes,” says Mr. Phan. “There are many areas where a professional’s knowledge, experience and attention to detail can be invaluable.”

Don’t skimp on maintenance. Because property ownership is primarily a financial investment, some owners are hesitant about spending money to repair and update their rental properties. However, being stingy about maintenance tends to backfire in the long run. “For instance, if you aren’t providing your tenants with a safe and healthy environment, it can create a liability and leave you subject to lawsuits,” says Mr. Phan. “Also, ignoring maintenance now can result in a need for bigger, more expensive repairs in the future. In either case, neglecting maintenance usually diminishes your long-term investment, so make sure you keep things like that in perspective.”

Frequently Asked Questions

Q: How will you help me maximize my property investment?

A: Once we determine your goals, we’ll put together a comprehensive plan that will help you achieve positive long-term results.

Q: How do you screen tenants?

A: We have a tenant screening system that includes income verification and a check of both credit and rental histories. However, we try to base qualification on more than just what’s on paper. That’s why we like to be present at our open house events so we can meet potential tenants and get a feel for who they are as people. We’ve found that balancing on-paper details with personal aspects tends to obtain better results than going solely off the written report.

Q: How do you handle maintenance needs?

A: We work with numerous vendors and contractors that handle maintenance. However, if a repair costs more than $100, you have the right to refuse and assign your own contractor, or even perform the service yourself. Either way, our goal is to take care of any maintenance issues in a timely manner.

Q: Do you handle financial aspects like mortgage payments?

A: Yes, and we can also handle things like insurance, taxes, and utilities.

Q: Do you provide any online resources?

A: We provide a variety of online tools for both property owners and tenants. Our tenants have access to our online portal, where they can pay rent, request services and even download their monthly billing statements or rental agreements. For property owners, we offer the ability to track things like expenses and fund transfers.

DIAMOND CERTIFIED EXPERT CONTRIBUTOR ADVICE & TIPS FROM Quan Phan

Expert CONTRIBUTOR PROFILE

Quan Phan: More Than a Feeling

By James Florence, Diamond Certified Program Reporter

SAN FRANCISCO — When Quan Phan purchased a beachfront condo in Baja, Mexico, his sole aim was to have a relaxing “home away from home.” What he didn’t expect was for it to lead to a new professional livelihood. “I really enjoyed the feeling that came with finding and acquiring a nice property, and I started thinking I’d like to help other people get that same feeling,” he recounts. “A couple of years later, I came back to California and went to work for a real estate firm. Soon after, I got my broker license, and in 2008, I formed GBA Realty.”

Unfortunately, Quan’s timing couldn’t have been worse, as the real estate market crashed soon after he established his firm. However, even as firms all around him were flailing in the recession’s murky deluge, he found a way to keep his business afloat. “After the market crash, there was suddenly an abundance of foreclosed properties,” he explains. “Some investors I knew approached me and said if I helped them select good properties, they would use my company to both purchase and manage their properties after the fact. So, that’s how I got started in property management.”

Today, as owner of GBA Realty, Quan says one of his favorite parts of his job is being a point of mediation between tenants and property owners. “Most conflicts between tenants and property owners can be settled quite easily, but without someone to facilitate communication, they often remain unresolved and even escalate. As a property manager, my role is to mediate between the two parties so I can minimize unnecessary conflicts and make sure everyone is treated fairly.”

Originally from Vietnam, Quan came to the United States in his adolescence, and although he says the transition was difficult, he feels it ultimately made him stronger. “It was a tough age to make that big move, and it was hard going to school and not knowing English. However, even though it was challenging, I think those challenges helped me grow. Over time, I grew to appreciate the fact that this country provides the opportunity to succeed for those willing to work for it.”

Outside of work, Quan spends most of his time and energy on his family and health. “With me, family is first,” he affirms. “In addition to my wife and son, I have four brothers and sisters, all of whom have kids, so we enjoy getting together at each other’s houses. I’ve also started exercising and biking over the last few years to stay physically active and healthy.” Additionally, Quan enjoys following local sports teams like the San Francisco Giants and the Golden State Warriors.

In regard to his professional career, Quan says there’s a lot more to being a successful property owner than making a quick buck. “Most property owners want to maximize the income from their rental properties, but they need to understand the value of looking beyond the dollar amount. When we assess potential tenants, we don’t just look at their credit scores; we look at the person and their situation as well. How long are they likely to live there? Will they take care of the property as if it were their own? These and other questions are critical points to consider when bringing tenants and property owners together.”

When asked the first thing he’d do if he were to retire tomorrow, Quan says he’d get involved in community service. “If I ever retired, I would find opportunities to volunteer. Whether that means getting involved in local schools or just helping to make the neighborhood a nicer, cleaner place, that would be very rewarding for me.”

Ask Me Anything!

Q: Did you play any sports in high school?
A: I played soccer.

Q: What’s your favorite local restaurant?
A: Waterbar in San Francisco.

Q: What’s your favorite thing to do on a rainy day?
A: Turn on the fireplace, watch sports and spend time with my family.

Q: Do you collect anything?
A: I collect wine. I have a friend who’s a wine distributor in China, and he really turned me on to the enjoyment of fine wines.

Q: What’s your favorite thing to eat for breakfast?
A: A cup of coffee. That’s all I need to get going in the morning.

  • An Insurance Tip for Rental Property Owners

SAN FRANCISCO — An important aspect of owning a rental property is having the right insurance policy in place. After initially owning a primary residence, many property owners move on to a second home and keep the first as a rental or investment property. A common mistake in this instance is neglecting to update the first home’s insurance policy in conjunction with the change.

When you own a home that’s your primary residence, your insurance policy is called a homeowners insurance policy. However, when you rent out a property where you’re no longer living, you need to update that property’s insurance policy to a rental insurance policy. Having the correct insurance policy in place is crucial to avoid unnecessary costs in the event of an issue with a tenant or the property itself.

SAN FRANCISCO — Host, Sarah Rutan: If you own a rental property in addition to your primary residence, you’ll want to make sure your insurance policy is properly updated. Today we’re in San Francisco with Diamond Certified Expert Contributor Quan Phan of GBA Realty to learn more.

Diamond Certified Expert Contributor, Quan Phan: One of the important part of owning a rental property is that having a right insurance policy is critical with that.
