Comparative Summary

Accounting firms are always looking for ways to distinguish themselves from their competition, and those that have earned the prestigious Diamond Certified award are already several steps ahead. In addition to its Diamond Certified status, Sterck Kulik O’Neill Accounting Group, Inc. sets itself apart by offering each client the benefits of a unified team of professionals who are specially trained to handle their needs. “We don’t divide our practice into separate tax and accounting practices,” explains partner Charles Sterck. “That way, our CPAs professional team members become knowledgeable about all aspects of our clients’ business, which allows them to provide well-rounded advice.”

Unlike some old-school accounting firms, Sterck Kulik O’Neill Accounting Group doesn’t stop at simply making sure its clients meet the United States government’s tax reporting requirements. Instead, the company determines each client’s financial goals and works closely with them to ensure they have the business development support and organizational structure to achieve those goals. “We can even assist with computer modeling to maximize profits,” adds Mr. Sterck. “Our passion is providing insight to businesses that lead them to financial well-being.”

Another distinguishing characteristic of Sterck Kulik O’Neill Accounting Group is its comprehensive approach to client communication, which includes sending regular newsletters to keep them updated on industry developments and implementing a policy of never screening phone calls. “A lot of our clients come to us after having difficulty contacting CPAs at other firms,” explains Mr. Sterck. “We don’t let that happen. We answer calls whenever possible and try to get back to clients within one day. They know they can count on us to always be there for them.”

Industry Info

Take simple steps to ensure your small business is in good standings with the IRS. Small businesses and their owners are frequently targeted for tax audits because their returns are more interesting to the IRS than the returns of simple W-2 wage earners. “A growing business typically has a lot of deductions, and while they may all be perfectly legitimate, the IRS watches that activity very closely,” explains Charles Sterck, Managing Director of Sterck Kulik O’Neill Accounting Group, Inc. in San Francisco. “The IRS won’t tell you why your return was selected for an audit, but a good accounting firm will be able to calmly work with their representatives and deliver exactly what they want to see—no more and no less.”

For more on effectively dealing with the IRS if your small business owes taxes, consider the following tips and information:

The importance of communication
If you’re behind on taxes and want to stay in business, it’s imperative to keep in touch with the IRS—even if the agency has left you alone for a while. “It can be scary for a small business owner to get a couple notices from the IRS, but the best thing to do is put aside that fear and carefully read the letters so you know exactly what you’re dealing with,” says Mr. Sterck. “Even if you discover the IRS wants to do a full audit of your business, it’s important to respond immediately so you don’t miss any deadlines. When you don’t respond to the IRS, they act on the worst-case scenario.”

Provide financial information
When it comes to presenting your company’s tax information to the IRS, Mr. Sterck advises to be as clear as possible. “In most cases, all the audit work is done before you actually meet with the IRS, so if you spend some time packaging your information so it looks understandable to someone who’s just glancing at it, the agent will be very pleased. Sometimes business owners are so busy that they neglect to keep crystal clear records. A quality CPA can come in and help package their information so it’s easily understandable by the tax authorities.”

Take a low-key approach
If an IRS agent finds an error in your tax information and you can prove it was an honest mistake, you can sometimes avoid incurring penalties. “That’s not a guarantee, but if you approach the process in a straightforward manner and treat the IRS agents like they have a job to do and aren’t the enemy, there’s a good chance you’ll see positive results,” says Mr. Sterck.

Frequently Asked Questions

Q: Do you charge for initial consultations?

A: No. At our initial session, we’ll talk with you to determine your needs and figure out how we can best help you fulfill them. You’ll be offered an engagement letter that details the work we’ll do and its estimated price before you incur any costs.

Q: Do you insist on handling all aspects of my company’s accounting?

A: No. We believe it’s best for one firm to handle all your company’s accounting needs, but often a client will call us for a specific job, like tax preparation or handling succession issues for a family business that’s being turned over to the children.

Q: Can you work with my company if our goal isn’t growth?

A: Yes, we want to help you achieve ‘financial success’ however you define it. For example, if you’re a family business and don’t want to take on the increased workload that comes with growth, that’s fine. We’ll work with you to help you maintain your current level of revenue without increasing your personal workload.

Q: Can you help my company with strategic planning?

A: Absolutely. We can help clarify your company’s identity and assist with vision sessions to align your staff toward your business goals.

Q: How do you keep in touch with your clients throughout the year?

A: We ask our clients to call us throughout the year anytime they have questions. We’re happy to discuss their financial issues with them and we don’t charge them for these short conversations.

Q: I recently received a letter from the IRS. What should I do?

A: First, carefully read the letter so you know exactly what you’re dealing with. Some letters from the IRS bring good news—they could be giving you money back because you made a mathematical error. Other messages are meant to correct your errors and ask for a small check. Even if the IRS says they’re going to do a full-blown audit of your tax return, it’s very important to read the notice immediately so you don’t miss any deadlines. When you don’t respond to the IRS, they act on the worst-case scenario.

Q: Can I talk confidentially with a Certified Public Accountant?

A: CPAs have an ethical responsibility to keep your financial, business and personal information private. Our firm doesn’t even provide the names of our clients without first receiving their permission.

Q: Will I work with the same accountant throughout the year?

A: Most of our clients work with the same team members throughout the year to ensure continuity and good communication. However, if your CPA is on vacation or otherwise unavailable, other professionals in our firm are happy to help. Our whole team is dedicated to the satisfaction of every client.

DIAMOND CERTIFIED EXPERT CONTRIBUTOR ADVICE & TIPS FROM Charles Sterck

Expert CONTRIBUTOR PROFILE

Charles Sterck: A Process of Achievement

By James Florence, Diamond Certified Resource Reporter

SAN FRANCISCO – After he graduated college, Charles Sterck wasn’t planning on being hired by a prestigious financial firm, but when it happened, he didn’t take his good fortune for granted. “Fresh out of school, I started working for Forbes & Company, which is the largest CPA firm on the west coast,” he says. “It was an amazing organization to work for, but it was also a very competitive environment. Fortunately, I enjoyed the daily challenges I faced and was able to succeed through a lot of hard work and diligence.”

Charles made his way through several financial firms before eventually becoming partner at what is now Sterck Kulik O’Neill Accounting Group, Inc. After 20 years with the firm, he says his focus remains the same as when he first started: to help small- and medium-sized businesses thrive in a challenging economy. “There’s no question that my favorite part of what I do is working with local business owners to help them overcome obstacles and achieve their goals.”

Born in Hong Kong, Charles came to the United States as an infant and was raised in the Bay Area. Despite having traveled all over the world, he says there’s no place quite like his San Francisco home. “I’ve visited many places, including much of Europe and Asia, and while I appreciate the distinctive things those cultures have to offer, I still think San Francisco is the most special place in the world. Cultural diversity, great food, amazing people—we pretty much have it all.”

Outside of work, Charles devotes much of his time to his great passion: breeding canaries. “I breed 30 to 40 pairs of birds each year, and it’s something I’ve been doing off and on for the past three decades,” he says. “I have an outdoor aviary on my property that typically houses about 450 birds by the end of breeding season.” Additionally, Charles stays actively involved in his local community, serving as treasurer of the San Francisco Food Bank and volunteering as a facilitator for the AIDS Health Project.

Whether in regard to his personal interests or his professional career, Charles says success is all about process. “As a financial professional, I love process, from setting initial financial goals with my clients to helping them achieve those goals step by step. In a similar way, the work I do with my birds is also about process—I have to make sure certain things happen at certain times in order to keep them healthy, happy and physically able to get through the breeding season.”

When asked the first thing he’d do if he could retire tomorrow, Charles says he’d play a little catch-up. “I have a ‘to do’ list that just keeps growing,” he laughs. “My everyday responsibilities seem to occupy much more time than seems reasonable, so if I was to retire tomorrow, I’d treat these loose ends as if it was my job to get them done.”

Ask Me Anything!

Q: Ever read a book more than once?
A: Fried Green Tomatoes at the Whistle Stop Caf by Fannie Flagg.

Q: Who’s your favorite film star?
A: Lucille Ball—she wasn’t just funny, she was an amazing character!

Q: Coffee or tea?
A: Tea, made the way the English like it.

Q: Are you fluent in any foreign languages?
A: I was raised speaking Portuguese, and I also speak some Cantonese, although I probably have the vocabulary of an 8-year-old.

Q: Do you have a favorite winery?
A: I love all the wineries in Sonoma County—it’s an affinity I developed while auditing for a company that specialized in working with the wine industry.

  • Small Business Tip: Utilize Local Resources like SCORE

SAN FRANCISCO — The vast majority of new businesses fail within the first year, often due to a lack of experience and knowledge of what it takes to stay afloat in a challenging economic environment. For this reason, it’s vital for new business owners to be proactive by taking advantage of available local resources.

For new business owners with little or no commercial experience, it’s highly recommended to consult a financial professional. However, professional assistance can be expensive—particularly for those who don’t know where to begin. Fortunately, there’s a resource for Bay Area small business owners who don’t have the budget for extensive professional assistance: SCORE.

SCORE is a nonprofit organization that serves entrepreneurs, start-ups and small businesses in San Francisco, San Mateo and Marin Counties. The organization consists of more than 50 retired and active professionals from a variety of industries who provide free counseling to new business owners who need it. SCORE also offers a variety of low-cost workshops to help business owners learn invaluable skills and knowledge.

Additionally, SCORE can prepare small business owners for meetings with CPAs by helping them organize their priorities on a comprehensive level. Being well prepared helps minimize the expense of professional advice and ensures business owners receive feedback on the specific things they need addressed.

SAN FRANCISCO — Host, Sarah Rutan: As a new business, you’ll want to prepare as best as you can before meeting with a CPA. Today, we’re in San Francisco with Diamond Certified Expert Contributor Charles Sterck of Sterck Kulik O’Neill Accounting Group, to learn about SCORE, a nonprofit association dedicated to helping small businesses.

Diamond Certified Expert Contributor, Charles Sterck: We have a lot of small businesses and new businesses that are setting out to start a business. It seems that they come to us from an array of starting points. For brand new businesses who have never done anything before, we often send them to SCORE. And every town has a SCORE, S-C-O-R-E. It’s a nonprofit. And it’s an incredible place to gather information and knowledge as it relates to starting a business.

Now we make this recommendation because using a CPA is expensive. And I think that the best tip that I can give you is to go to SCORE first, understand what they can give you, and then create a comprehensive list of those things that you know you don’t know so that you can come to a CPA in a logical way, and that they can give you feedback on the specific things that you’re looking for.

DIAMOND CERTIFIED EXPERT CONTRIBUTOR ADVICE & TIPS FROM Geoffrey Kulik

Expert CONTRIBUTOR PROFILE

Geoffrey Kulik: At Home in the City

By James Florence, Diamond Certified Resource Reporter

SAN FRANCISCO – Geoffrey Kulik is originally from a small town in northern Nevada, but when he first visited San Francisco as a young boy on a summer trip with his family, its diverse vitality immediately struck a chord with him. Later in life, when an opportunity arose to make his former vacation destination his permanent residence, he didn’t hesitate. Today, Geoff continues to appreciate the vibrant lifestyle that the City by the Bay offers. “I count myself very lucky to be able to live and work in San Francisco,” he says. “To pass tourists on the street and realize that people from all over the world come to visit the city where you live—I think that’s pretty special.”

While Geoff has been working as a CPA for nearly two decades, his initial entrance into the accounting industry was somewhat indirect. After graduating from college with a BS in Physics, he went to work for his family’s small business, where his aptitude for computer technology soon led to a wide range of occupational opportunities. “My hands-on experience made me pretty well suited to jump into a field that nobody had a lot of familiarity with,” he says. “In 1986, I joined an accounting firm to bring their computer systems up to date, as well as implement computer-based accounting systems for their clients. Now, more than 25 years later, I’m a partner at Sterck Kulik O’Neill Accounting Group, Inc.”

Geoff says one of his favorite parts of the job is providing clients with solutions to their complex financial situations. “I enjoy the diverse challenges that come up on a daily basis in this line of work. Clients are always presenting us with unique issues, so each day is always very different, which keeps things interesting.”

When he’s not working, Geoff enjoys a variety of activities, from square dancing to competing at dog shows with his and his partner Galen’s four miniature long-haired dachshunds. He also enjoys traveling to exotic locations and experiencing new things, from scuba diving on the Great Barrier Reef to hiking in Alaska. When asked what he would do if he could retire tomorrow, Geoff says he would most likely split his time between home and abroad. “I would love to travel more, but I also enjoy being at home, so I’d spend more time with my dogs as well.”

Ask Me Anything!

Q: Are you a dog person or a cat person?
A: I’d have to say I’m a dog person, although I like cats, too. It’s funny because I have four dachshunds, which are sometimes described as the most “feline” of all canines.

Q: What websites do you visit regularly?
A: The Huffington Post, FiveThirtyEight.com and Google News.

Q: Have you ever solved a Rubik’s cube?
A: I have. It took me a while, but eventually I became good enough that I could solve them without referring to any guides.

Q: What country would you most like to visit?
A: Italy. I’ve never been to Rome, Florence or Venice, and I want to see all those places.

Q: Are you an early bird or a night owl?
A: Night owl.

  • Small Business Tip: Know the Numbers

SAN FRANCISCO — You’ve heard the statistic: Nine out of 10 new businesses fail within the first year. While a variety of factors may account for this figure, one of the main instances that cause a small business to fail is when the owner loses track of the numbers. That’s why the best thing you can do as a small business owner is take the time to identify and compile key numbers that will enable you to monitor your business’ health on an ongoing basis.

Whether getting caught up in daily operations or relying too heavily on tax documents and accounting packages, small business owners often lose focus on the financial aspect of growing their businesses. While many assume an accountant or accounting package will handle this for them, such assistance is typically focused on producing annual tax documents and financial statements. While these can be useful, they’re generally produced months after the fact. Meanwhile, if a business owner isn’t paying attention to the current numbers, things can get out of control without their notice.

In order to simultaneously grow your business and ensure financial balance, you need to independently keep track of and compile all the pertinent numbers related to your business. For example, how many customers do you have? Where are those customers coming from? Accounting packages aren’t designed to answer these kinds of demographical questions, but it’s crucial to know such vital figures. Another example would be if your business has delivery trucks, in which case it’s important to keep track of daily mileage. By identifying and compiling pertinent data, you’ll be able to more accurately monitor your business’ health on a continual basis rather than relying on the previous year’s financial statements.

  • Video: Action Plan for IRS Notice

    Complete Video Transcription:

SAN FRANCISCO — Host, Sarah Rutan: Receiving a letter from the IRS can be daunting but its best to have a plan of action. Today we’re in San Francisco with Diamond Certified Expert Contributor Geoffrey Kulik of the Sterck Kulik O’Neill Accounting Group to learn more.

Diamond Certified Expert Contributor, Geoffrey Kulik: Step one, open the notice. Find out what it’s about. A lot of notices – well, first of all, most notices have nothing to do with the dreaded audit word, and that’s not what’s involved. A lot of notices are going to be simple questions that you’re going to be able to respond to. Or if not, you’re going to be able to take it to someone who can assist you in responding directly to the notice. But you need to deal with whatever that notice is dealing about and whatever it’s talking about. It’s not going to go away if you simply ignore it.

If it is an audit notice and an audit request, typically they’re going to be over a more complicated issue than a tax return. You’re going to want to have help in getting organized to deal with that, that whole process, and to go through that process. So, bring it to a CPA.

They will help you in a couple of different ways. Number one, they’ll represent you before the IRS. You have the ability that – to send a representative so that you don’t have to talk to the auditor yourself. That’s important for two reasons: Number one, the representative is going to be able to know what the nuanced questions are that an auditor is asking, and you may not have the skills to know what those answers are or what direction that they auditor is really going. Number two, your representative can really answer a question legitimately with an answer, I don’t know the answer to that. Let me get back to you. You, as a taxpayer, really don’t have the luxury of that sort of an answer.

The other way that an expert is really going to help you deal with that notice is help you get organized. There’s going to be a lot of data that you need to collect, and it needs to be organized in a certain way, and they have the skills to really help you do that so that you can deal with the auditor and put it behind you.
